Background

This Privacy Statement explains how Ohpen collects, uses and protects information when you visit our website, and how we process personal data submitted to us in connection with recruitment when you are redirected to our Personio career page.

Website analytics and visitor behaviour

On the Ohpen website, we collect standard log information and website usage patterns, such as page-level traffic volumes and the frequency of visits by hour or day. This information is collected and processed on the basis of our legitimate interest in understanding how our website is used and improving its performance and content, and it is processed in a manner that does not identify individual visitors.

We do not seek to identify the identity of any website visitor, and we do not combine this information with personally-identifying data obtained from other sources. Any log or usage data that could, in principle, relate to an identifiable individual (for example, IP address data collected prior to anonymisation) is retained only for the period necessary to generate the aggregated statistics described above, after which it is deleted or irreversibly anonymised.

Recruitment data

Personal data is collected when it is voluntarily provided by you for recruitment and application purposes on the basis of the steps necessary to consider you for employment and, where applicable, to prepare for entering into an employment contract with you. To manage job applications, Ohpen uses the recruitment platform Personio. When you apply for a role with us, your application is processed via our Personio careers page, where you will find clear information on what personal data is collected and how it is used. Contact forms

Where you use our contact form to request a demo or get in touch with us, we collect the personal data you voluntarily provide, such as your name, email address, company name, job title and phone number, together with any additional information you choose to include in your message. The legal basis for this processing is our legitimate interest in responding to your enquiry and managing our business relationships, or, where applicable, the performance of steps taken prior to entering into a contract with you.

We use this information solely to respond to your enquiry, schedule and conduct the requested demo, and follow up on your request. We do not use this information for any other purpose, and we will not share it with third parties except where necessary to fulfil your request or as otherwise described in this Privacy Statement.

Contact data submitted through this form is stored in our content management system (CMS) and is retained for 2 years after which it is deleted, unless a longer retention period is required to comply with our legal obligations or to establish, exercise or defend legal claims.

We have entered into a data processing agreement with Google that expressly prohibits Google from sharing or using the data collected via Google Analytics for Google’s own purposes.

Google Analytics cookies are stored for a period ranging from the duration of website usage (“Session”) up to 2 years, as set out in our Cookie Policy. Data recorded by Google Analytics include your IP address (from which the last octet is removed). The data obtained will be transferred to Google and saved by Google on servers in the United States, on the basis of the EU-U.S. Data Privacy Framework. Ohpen does not use other Google services in combination with Google Analytics cookies.
